Privacy Policy

RefStaff ("RefStaff", "we", "us") is a referee-scheduling service that connects leagues and coordinators with referees and umpires. This policy explains what we collect, why, and who sees it.
What we collect
- Account details: name, email address, phone number, password (handled by our sign-in provider; we never see it in readable form), and whether you signed up as a league or a referee.
- Profile details you choose to add: profile photo, age, gender, short bio, work experience, and a home location.
- Activity: games you post or claim, messages and group chats about games, no-show records, and your referee attestation.
- Billing (leagues): payments are handled by Square. Your card number is entered into Square's secure form and is never stored by RefStaff. We keep only your plan, trial and subscription status, and Square customer and subscription IDs.
- Location text: when you enter a home location or venue, the text (or your device's coordinates if you tap "use my location") is sent to OpenStreetMap's Nominatim service to turn it into a map position.
Who can see your information
- Your phone number and email are shared only with the league or referee you are matched with on a claimed game, so you can coordinate directly. They are not shown to other users.
- Your name, photo, bio, experience, and no-show count are visible to other signed-in users who view your profile or a game involving you.
- Reviews you write (star rating and optional comment) are visible to other signed-in users on the reviewed person's profile.
- Messages are visible only to the people in that game's chat (the poster and the referee(s) who claimed it).

We do not sell your personal information or use it for advertising.
Cookies and local storage
We use your browser's storage only to keep you signed in (if you choose "Keep me signed in") and to remember simple settings such as which messages you've read. We don't use advertising or tracking cookies.
How long we keep it
We keep your information while your account is active. You can ask us to delete your account at any time; we will remove your profile and personal details, though we may keep limited records we're required to keep (for example, payment records held by Square) or that are needed to resolve disputes.
Your choices
You can edit your profile in the app at any time. To access, correct, or delete your data, email us at the address below and we'll respond within a reasonable time.
Security
We use reputable providers and encrypted connections (HTTPS), but no online service is perfectly secure. Please use a strong, unique password.
Age requirement
RefStaff is for people 18 and older. We do not knowingly collect information from anyone under 18. If you believe a minor has created an account, contact us and we will remove it.
Changes
If we make meaningful changes to this policy, we'll update the date above and, where appropriate, notify you in the app.
